Excel Export - issues with "Maintain link to databse"

Hi there, I am trying to export data to excel while maintaining the link to the database, however whenever I select this function the ESdat icon does not appear in the excel toolbar and I am unable to import the updated data back into ESdat. Also, in the file name there is (Product Action Failed). Any suggestions? Thank you.

Hello, The export to Excel option to "maintain link to the database" means that the exported data will automatically update to match changes to the data in the database whenever Excel is opened. Changes to the data in Excel won't be written back to the database. It sounds like you want to export data to Excel, make changes, and re-import into the database. It can sometimes be easier to make bulk changes to the data in Excel, but you can also do the editing internally. To do this through Excel select Data Tables - (Name of Table), and export to Excel. Then in ESdat select import, and create a import template for that table. Copy the exported data into that template. You can then make changes and update the data. Sincerely, Alex

Hi Alex, You are exactly right I am trying to export data to excel make the changes I need then re-import it to ESdat. There are many changes that need to be made so doing them in ESdat would be lengthy like you said. I have followed the steps by exporting the data through data tables and creating an import template from ESdat. I copied the data into the template and uploaded the data, it says its uploaded but when I check the database in ESdat it does not appear that the data has been updated. Any suggestions? Hello Jessica, If the data is uploaded the data in the Import Template should all be green, and no errors identified in the import. Perhaps you may need to send a copy of the Excel Import Template to me at support@ESdat.com.au also do a fresh export of that data from the database and send that through as well. In the interim you could also get one of the power users in your office to look over your shoulder as a double check. Alex.

This was resolved upon receiving more details. The data tables in ESdat have certain "Key" fields which are shown in the Import Template in a double green heading (single green is just a required field). It is the values in these Key fields which are used to identify a record to upload changes. This particular example was in the Chemistry Results Table, where the user was trying to edit the exported data and then re-upload it with "Update". As some of the key fields where edited these were considered new records. This approach is not recommended especially for lab data. If there is an issue with lab data the best approach is to delete it from the database and then re-import. Alternatively, it is also easy to change a whole column of values in ESdat by filtering for what you want to change, putting ESdat in edit mode, selecting the column and entering the new value. Alex
